Privacy notice
Short version: we contact limited companies and LLPs at their published business addresses, we stop the moment you ask, and we never sell or share your details for anyone else's marketing.
Who we are
Meridian is the trading name of Blake Fining, a sole trader based in the UK, who is the controller of the personal data described here. Postal address: Flat 4, Eden House, St Austell, Cornwall PL25 5EW. Email: hello@meridianaisystems.co.uk.
What we hold and where it came from
Business contact details: the business name, its town, its business email address and phone number, its website, and its company number and legal form. Where a business email address includes a person's name, that is personal data too. We also hold the names of a company's directors (or an LLP's members) as they appear on the public Companies House register, and use the first name only to address our email to them; the email itself still goes to the business address. We collect these from what the business publishes itself and from public registers: its own website, its public Google listing and the Companies House register. We do not buy lists.
We also keep what we sent, when, and what you replied. If you speak to us by phone or video, we may record the call; we tell you at the start, and you can ask us not to.
Why, and on what basis
We use this information to offer our services to businesses they are relevant to, which is our legitimate interest under UK GDPR Article 6(1)(f). We email limited companies and LLPs only; sole traders and ordinary partnerships are individual subscribers under the Privacy and Electronic Communications Regulations, and we do not email them. We record calls to keep an accurate note of what was agreed and to improve how we run them. If you become a client, we use your details to perform our contract with you.
Who else handles it
Only the suppliers that run this service for us, under contract and on our instructions: Instantly (sending email), Google (business email and calendar), MillionVerifier (checking an email address is deliverable), Anthropic (drafting emails and reading replies), Railway and Supabase (hosting and database), and yay.com (phone and text, where used). Some of them process data in the United States. Where they do, the transfer is covered by the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum. We make no decisions about you by automated means that have legal or similarly significant effects.
How long we keep it
Prospect records are kept while they are relevant, and a record we have not been in contact with for 24 months is deleted at our next review, which happens at least once a year. If you ask us to stop, we keep your address on a suppression list and nothing else, for as long as we send marketing email at all: that record is what makes sure you are never contacted again. Call recordings are kept for up to 12 months.
Your rights
You can object to our using your details for marketing at any time, and we will stop: use the link at the bottom of any email we send, or reply and say so. You can also ask for a copy of what we hold, ask us to correct or delete it, or ask us to restrict how we use it. Write to the email address above. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
